Building a media-rich proposal in SendSites is fast because most of the work is already done. Templates, your Content Library, and integrations with tools like Amadeus Delphi mean you’re personalizing — not building from scratch. Here’s the full workflow, start to finish.

Start from an optimized template

From your dashboard, click New and pick a baseline template that matches your lead type — weddings, corporate meetings, small groups, or large groups. Each template is pre-styled with sections that fit that kind of business, so you’re roughly 80% done before you type anything.

Tip

If you send a particular kind of proposal often, save a tailored version as your own template — there’s no limit on how many you can keep.

Personalize the intro and event dates

Click directly into the introduction block to update the event dates and rewrite the greeting letter for your prospective buyer. Reference the planner by name, mention their organization, and confirm the dates you’re holding.

Pull in live agenda and room block data

Scroll to your data sections. Instead of rebuilding grids by hand, use the integration toolbar to pull your Meeting Agenda and Room Block details straight from Amadeus Delphi. If your numbers live in a spreadsheet instead, paste them in from Excel and the formatting carries over.

Note

Delphi data stays connected, so if the booking changes on the PMS side you can refresh the proposal rather than rekey it.

Swap content blocks from your Company Library

Open the Company Library to tailor the proposal to the client’s profile. Navigate to a pre-styled category like Accommodations and drop in the rooms that fit — for example, swap a standard King for a Double Queen suite. Delete blocks that aren’t relevant to this buyer, like spa content for a corporate meeting.

Tip

During onboarding, SendSites populates your Library with your branded copy, high-res photography, video headers, and virtual tours, so your sales team has the full property catalog ready to drop in.

Preview and share the live link

Click Preview to review the proposal from the buyer’s perspective. Check that pricing matrices, agendas, and imagery render cleanly. When you’re happy, copy the generated live link and send it to your client by email or message.

Unlike a PDF, the link you send is dynamic. As negotiations progress, hop back into the editor to adjust rates, update room counts, or append contract clauses. Your buyer refreshes the same URL and sees the revised terms instantly — no resending files, no version confusion.

You’ll also get an alert by email or in your dashboard the moment the buyer opens the proposal, so you know exactly when they’re actively evaluating your property.
