How to Send a Digital Proposal with SendSites
By Declan · Updated May 2026
Walk through both ways to deliver a finished proposal to your client — sending directly from SendSites with built-in tracking, or generating a share link to send from your own email.
Once your proposal is built, SendSites gives you two ways to get it in front of the buyer: send it directly from the platform with automatic tracking, or generate a secure link you can paste into Outlook, Gmail, or any other email client. Either way, you start with a preview to confirm the page looks right.
Preview the proposal
Click the Preview icon in the top-right corner of the editor. This opens a live rendering of the page exactly as the recipient will see it. Check pricing, photos, and layout, then click Next to move on to delivery.
The preview is the last chance to catch typos and broken layouts before the buyer sees them. Don’t skip it.
Fill in the recipient details
Enter the Page Name (an internal label for your own tracking), the Recipient’s Name, Email Address, and Company Name. These fields are used whether you send through SendSites or generate a link.
Choose your delivery method
At the top of the form, you’ll see a toggle for how the proposal goes out. Leave it on the default to send through SendSites, or switch it to Just create the link and I’ll send the page myself later if you want to deliver from your own email client.
If sending through SendSites: draft the email
Review the auto-populated message body and adjust the wording to fit the conversation. Write a clear Subject Line that gives the buyer a reason to open it.
Set tracking and CC options
Add a BCC recipient if your workflow requires looping in a manager. Check Notify me when the page is visited to get live alerts when the buyer opens the proposal, and check the option to send yourself a copy for your records.
Visit notifications fire the moment the recipient opens the page, so you’ll know when to follow up.
Send the proposal
Click Send. SendSites delivers the email to the buyer’s inbox and starts tracking opens and engagement immediately.
If generating a link instead: copy the tracking URL
After switching the toggle to create a link, click through to generate it. The system produces a custom URL tied to this recipient. Click Copy Link to grab it.
Send the link from your own email
Paste the URL into a message in Outlook, Gmail, or whichever client you use. The link still carries your unique tracking tags, so visits and engagement will show up on your dashboard the same way they would for a direct send.
Confirming the send worked
After sending — either method — the proposal appears in your dashboard with its tracking status. When the recipient opens the page, you’ll see the visit logged and, if you enabled notifications, get an alert in real time.
