SendSites is a web-based proposal and sales presentation platform for hospitality, destinations, and travel brands. It replaces static PDFs and PowerPoint decks with a single branded link that is easy to update, track, and personalize.
How else can we use SendSites beyond proposals?
Common uses include RFP responses, trade show follow-up, sales kits and presentations, itineraries and destination overviews, virtual FAMs, and pre-event or pre-arrival information.
Building and Managing SendSites
Can I edit or update a SendSite after I send it, without resending a new link?
Yes. SendSites are live and editable after sending. Changes show up without resending a file or link.
What can I include in a SendSite?
You can include modern webpage-style content like images/galleries, videos/virtual tours, PDFs, tables (room blocks, itineraries, pricing), maps, links/buttons, and embedded forms or third-party tools.
Can I copy and paste content from Word or PowerPoint and have it auto-format on brand?
Yes. Content pastes cleanly and automatically adopts your SendSites branding without reformatting.
Can I customize welcome letters or introduction sections per audience?
Yes. You can customize welcome letters and intro sections to match your message and audience.
Can I create my own templates and sections?
Yes. You can create and manage your own templates and sections so your team can move quickly while staying on brand.
Can I lock content so users cannot edit certain sections or paragraphs?
Yes. Content can be locked down to individual sections or paragraphs.
Branding and Governance
How does branding work (fonts, colors, themes, styles)? Can you switch between themes?
SendSites uses Themes to define branding (fonts, colors, header media, backgrounds). Accounts can have multiple themes, built specifically for different uses like corporate, weddings, or seasonal campaigns. Templates and sections are fully interchangeable, and you can apply any theme to any template with a single click — making it fast and effortless to adapt your proposals without starting over.
Can sales users change fonts or brand styling themselves, or is it controlled at the account/theme level?
Users can format content within approved styles, but brand-level changes like fonts, colors, and header designs are managed at the account level to protect brand integrity.
Can the header be changed? If it requires theme setup, how does that work?
Header designs are treated as a brand-level element (managed at the account level). Header changes are handled via theme setup by SendSites.
What happens if we rebrand? Will SendSites help update branding, and is there an additional cost?
SendSites will help you rebrand at no additional cost.
Sharing and Client Experience
Can a SendSite be shared with multiple people or a whole team? Do viewers need a login?
Yes, you can share with one person or an entire team. Viewers do not need a login.
Does it work on all screen sizes (mobile, tablet, desktop)?
Yes. SendSites are fully responsive for desktop, tablet, and mobile.
Can a SendSite be printed or saved as a PDF?
Yes. There is a print option that generates a clean PDF with your branding and cover page.
Do video headers autoplay with sound?
Autoplay videos play without sound due to browser restrictions. Videos with sound require a click to play.
Analytics and Reporting
Do you offer analytics or tracking? What notifications do I get?
Yes. You receive engagement notifications, including alerts when recipients open and engage with a SendSite.
Can admins view reporting and team activity? Do you provide periodic usage reports (weekly, monthly, quarterly, annual)?
Yes. Admins have visibility into team activity and live pages, and SendSites provides weekly, monthly, quarterly, and annual usage reports.
Integrations and Workflow
What integrations does SendSites support?
SendSites has integrations with Amadeus Delphi, Simpleview CRM, and Versonix Seaware.
Can SendSites be used with or without a CRM integration?
Yes. It works with or without a CRM and can be used standalone or alongside your existing process.
What do the integrations “look like” in practice?
Integrations are designed to support existing sales workflows rather than replace them. With Delphi / Sales & Catering, teams can pull room blocks and key booking details into SendSites, making it easy to present availability in a clean, visual format. With Simpleview, teams can pull in room blocks and destination content to support DMO and partner-driven sales efforts. With Seaware, teams can bring in itineraries, stops, and trip details, using simple copy-and-paste with live links back to the source system. The exact experience depends on which integration is in use, but the goal is always the same: reduce duplicate work while presenting information more clearly and professionally.
Accounts, Users, and Permissions
Can one account support multiple properties or multiple brands?
Yes. It supports multi-property groups, regional or national sales teams, and multiple brands within one account (including cross-selling templates).
Can sales coordinators send SendSites on behalf of sales managers, and who “owns” the proposal afterward?
Yes. SendSites supports sending on behalf of another user. Once sent, it lives on the dashboard of the person it was sent on behalf of, to keep ownership and follow-up clear.
Files and Content Library
What file types can I upload?
You can upload PDFs, images (JPG and PNG), DOC, XLS, and PPT. GIF, SVG, and TIFF are not supported.
Is there a max file size per upload? Are there storage fees?
Max file size is 65MB per file. There are no storage fees.
If I delete a file from the library, does it affect live SendSites already sent?
No. Deleting files from the library does not affect existing live SendSites already in circulation.
Security and Data Handling
Are SendSites password protected? If not, how are pages secured and are they hidden from search engines?
SendSites pages are not password protected. Each SendSite is accessed through a secure, unique link and is not indexed by search engines. Pages are only accessible to people you choose to share the link with.
Pricing, ROI, and Fit
What is the pricing structure?
